If you select a hotel that is offline, you can still complete the booking using Hotel Booker. This process will require you to contact the hotel via telephone to confirm the details of the stay. By default offline hotels will show a Guide Rate or an Offline Rate that will not be accurate, and you will need to add the new rate that you agree with the hotel.
To add a new rate to an Offline Booking:
-
Click the icon to see the hotel Information.
From this page you can view the hotel contact number, marked by the symbol.
-
Once you have agreed upon all details of your booking with the hotel, and they are confirmed, add them to Hotel Booker.
-
Go back to the rate selection page by clicking the back button on your browser. If you cannot do this, search for the hotel again.
-
From the rate selection page, click Add new rate.
-
Populate the fields based on what was agreed with the hotel over the phone.
Input the agreed Rate.
By default, the date range will be set as the date that the booking is being processed, this should be changed if required.
The Room Type and what the Room Includes must also be selected from the dropdown boxes.
The Description, Cancellation Policy and Commission should include the relevant additional information, agreed cancellation policy and any commission that is due to be paid.
Input the necessary information into the Description, Cancellation Policy and Commission fields.
-
Once all data has been entered, click Add Rate.
The rate now appears in the list of rates available for selection and is displayed as a Corporate Rate.
This clarifies that there is a negotiated rate for the client at the hotel.
If the rate has been uploaded to the GDS, the Online Rate should always be selected.
-
Click Select Rate.
-
Add the Booking Contact and Traveller details can be as described in the Making a Booking section.
-
Specify the Payment Method, and complete any Custom Data Fields.
-
Scroll to the bottom of the Booking Summary and click Finish.
The status of the booking will change to Accommodation Booking.
Note
Conferma Pay writes a passive PNR into the GDS and appends any Custom Data Fields.
Conferma Pay will then issue a confirmation email to the booker and a confirmation fax to the hotel.
The Hotel Reference field and Passive Locator are stored under Office Use Information.
