Custom data fields allow you to create additional fields to capture specific data against your deployments and can ensure data consistency for every deployment.
To configure a custom data field in Conferma Online you will need to create a data list, add data list items, create a custom data field template, and select a control type.
Custom data fields are configured per Card Pool.
Custom data fields are used across all products.
You can use custom data fields when creating a deployment in Conferma Online, Mobile Control, or in the Conferma App.
Data captured from using custom data fields will be visible in deployment details, and in snap in your reports.
A data list is a list of items that you can link to custom data fields.
Data lists are required if you are using the following control types:
Auto complete
Auto complete with validation lookup
Dropdown list
Validation lookup
A data list is not required if you are using the following control types:
Check box (Conferma Online only)
Toggle (Mobile Control only)
Text box
To create a data list:
Data List items are the options that users will see when using custom data fields.
To add data list items:
Click Administration.
Select Data lists.

Click View data lists.

Click Add new data list, or select a Data list.

From the data list details page, click Add data list item and enter a Name and a Display value.
In admin-facing functions, reports, and deployment details, you will see the Name value.
In user-facing functions in Conferma Online and the Conferma App, you will see the Display value.
You can bulk upload your data list items using a CSV file.
To bulk upload a data list:
From data list management select a Data list.

Click Bulk upload item.

Click Choose file and select your CSV file.
If you would like to see an example of a completed file, click Download sample file to download a CSV file that details the data fields required.

The screen will display the parsed result with the valid or failed information.
Click Process file. The file status will be 'Imported success'.
Custom data field templates are how you create your custom data field, link a data list, and configure the control type.
To create a custom data field template:
Click Administration.

Click Card Pool search and search for your Card Pool.

Select your Card Pool and and click Custom data field templates.

Select a Spend type and then click Add template.

Enter the Name of the custom data field, this will be the field label.

Set the Order in which you want the custom data fields to appear.
If you only have one, set the Order as 1.
Choose a Control type and if required, choose a Data list.
Click Add.
Custom data field templates can be copied across multiple Card Pools once configured.
Note
All templates will be copied to the target Card Pool.
Copied custom data field templates are not linked, and any edits made will only effect the custom data field template you are editing.
To copy custom data field templates:
Click Administration.
Click Card Pool search.
Select a Spend type and click Search.
Select your Card Pool.

From the left-hand menu, click Custom data field templates.

Select a Spend type that you have configured custom data field templates for.

Click Copy.

Select the target Card Pool, select a spend type and then click Copy.
Control types are configured when creating a custom data field template in Conferma Online.
Auto complete—users must begin to type. A drop down box will appear with options matching their entry. The data entered does not need to match an entry from the linked data list

Check box (Online only)—user must click a tick box option (true/false)
Toggle (Mobile only)—users must click a binary toggle option (true/false)
Dropdown list—users must select an option from a dropdown list that is linked to a data list
Text box—users must type into a free-type text box
Validation lookup—users must type into a free-type text box. The data entered must match an entry from the linked data list
Custom data field aliasing capability allows you to utilise one or multiple different names for custom data fields on the same Card Pool, enabling a consistent reporting format.
This will facilitate the different custom data field naming labels when using multiple booking platforms. For example, 'employee ID' may also be known as 'employee name' and/or 'employee number'—the alias will show all three sets of data under one reporting column named 'employee ID'.
Click Custom data field aliasing from the Card Pool settings page to create an alias.

Select the spend type.

Click Add alias.

Select a custom data field from the dropdown, enter the new alias and click Add alias.

The new alias will be displayed on screen.
